Give New Employees a Better Onboarding Experience Using AI

Onboarding is an essential and important part of employee recruitment, and using artificial intelligence (AI) can make it faster, easier, more convenient and less stressful for new employees, therefore providing a better all-around experience and leaving Human Resources professionals to perform the tasks that are better off provided by an actual human being.

AI can be used to reduce routine and repetitive tasks that don’t need to be performed manually by HR staff or would add unnecessary burden to the employee. For instance, documents already provided by employees can be read using OCR technology so that employees are not asked to provide the same information again, cutting down time providing information that has already been submitted. Also, AI can be used to request standard items from employees, such as ID cards, CVs, diplomas, permits and certificates.

Policies and contracts can be provided to the employees electronically and those can even be approved or signed electronically, avoiding the stack of paper or the multiple emails that are needed to cover this today.

New employees need a lot of information that needs to be communicated during the onboarding process, and AI can help in efficiently getting that information to them. Especially when it’s routine information about company-wide policies or something an employee may be uncomfortable asking about on their first day. A chatbot can be used to answer questions about vacation days, leave policies, remote-work or pay, for instance, while minimizing communication to HR staff on routine issues. Also, AI can allow for onboarding to happen at any location and at any time. This is especially helpful since many employees do telecommute on a regular basis and are not always at a fixed office location. Questions can arise at any time, and a chatbot, for instance, would be able to answer a basic employee question at any time, not just during business hours.

Lastly, there are many things that new employees need to get set up when starting a new job and AI can help with those things as well. For instance, IT items like how to set up your printer, or how to set up a password.

There are many uses for AI in the onboarding process, making it more positive for employees and eliminating routine tasks that don’t need to be handled by an HR professional.
